Managing Your Rosters

As you create more rosters, 8 Hours provides tools to help you keep them organized and easily accessible.

1. Accessing Existing Rosters

All the rosters you create are saved and can be accessed again at any time.

  • Go to the Chat Page: Navigate back to the main "Chat Page". This is the page you see after logging in, where you initially describe your roster needs.
  • Find "Your Rosters": Scroll down below the main text input area. You will see a section titled "Your Rosters".
  • List of Rosters: This section displays a list of all the rosters you have previously created. They are typically shown as cards or entries with their names, often sorted by the last time you accessed them.
  • Open a Roster: To view or continue working on a roster, simply click on its name or card in the list. This will take you directly back to its dedicated "Roster Setup Page" workspace.

2. Scheduling for a New Period (Copying a Roster Setup)

If you need to create a roster for a new time period (like the next month) using the same staff, shifts, and rules as a previous roster, you can save time by copying the existing setup.

  • Open the Base Roster: Go to the "Chat Page" and open the existing roster whose setup you want to reuse by clicking on it in the "Your Rosters" list.
  • Navigate to Basic Info: In the "Roster Setup Page" for that roster, go to the "Basic Information" tab in the right panel.
  • Find the Copy Button: Look for a button labeled something like "Schedule for Another Month" or "Copy Roster Setup".
  • Click the Button: Clicking this button will create a *new*, separate roster workspace. This new workspace will be pre-filled with the staff details, shift types, and rules from the roster you copied.
  • Update for New Period: You will be automatically taken to the new roster's workspace. Now you need to make the necessary updates for the new time period:
    • Go to the "Basic Information" tab and set the correct Roster Date Range for the new period.
    • Go to the "Staff Details" tab and update any leave dates, availability, or staff changes relevant to the new period.
    • Review the "Rules" tab in case any rules need minor adjustments for the new dates or staff.
  • Solve: Once you have updated the information for the new period, go to the "Solve" tab and click "Solve Roster" to generate the schedule for the new time frame.
