Viewing & Exporting Results
Important: Thorough Rule Setup is Key!
Before attempting to generate a roster, ensure you have thoroughly set up your staff details and defined all necessary rules in the Staff Details and Rules sections. A well-defined set of rules is crucial for the AI to generate an accurate and usable roster.
After you click the "Generate Schedule" button in the "Solve" tab and the AI successfully generates a schedule, the resulting roster timetable will be displayed directly within that same tab.
1. Reviewing the Timetable
Carefully examine the generated timetable to ensure it meets your requirements and expectations.
- Visual Layout: The timetable typically presents dates horizontally across the top and staff names vertically down the side (or vice-versa). Each cell shows the assigned shift(s) for a specific person on a given day.
- Check Assignments: Verify that all necessary shifts are covered and that staff assignments appear logical and fair.
- Rule Adherence: Confirm that the rules you defined in the "Rules" tab have been generally followed (e.g., required days off, fairness objectives, leave periods).
- Identify Issues: While the AI strives for the best possible solution, complex or conflicting rules can sometimes lead to challenges. The system may provide indicators if certain rules were difficult to satisfy or if any had to be relaxed (if you configured that option).
2. Iterating and Re-Solving (If Necessary)
If the initial roster isn't exactly what you need, you can easily make adjustments and generate a new version.
- Go Back: Navigate back to the "Staff Details" or "Rules" tabs using the tabs at the top or the navigation buttons.
- Make Adjustments: Update staff availability, leave dates, or modify the rules. You might need to relax a strict rule or add a new one you initially missed.
- Re-Solve: Return to the "Solve" tab and click the "Generate Schedule" button again. The AI will generate a new timetable based on your revised information.
You can repeat this process of adjusting and re-solving until you are completely satisfied with the generated roster.
3. Exporting the Roster
Once your roster is finalized and meets your approval, you can easily export it for sharing or printing.
- Look for Export Options: Find the export button within the "Solve" tab. It is typically labeled "Export to Excel", "Download", or features a download icon (⬇️).
- Click to Export: Click the button to download the roster file to your computer. The roster is usually exported as an Excel (.xlsx) file.
- Use the File: You can now open the downloaded Excel file, print copies, share it electronically with your team, or integrate it with other systems as needed.
